About the Role
We are looking for an experienced, dependable and solutions-driven Senior Events Operations Executive to join Invade’s Operations team.
You will lead the operational planning and delivery of experiential events from pre-production through live execution. Working closely with Campaigns, Creative and Production teams, you will be responsible for translating creative concepts into safe, practical and engaging event experiences.
This role goes beyond logistics and onsite coordination. We are looking for someone who can think critically about attendee experience, crowd movement and operational flow, developing multiple layout options and production solutions that balance creativity, operational feasibility and commercial considerations.
The ideal candidate is proactive, resourceful and calm under pressure. You should enjoy solving complex operational challenges, communicating with multiple stakeholders and continuously exploring how technology and AI can improve planning, documentation and operational efficiency.
Responsibilities include but not limited to the following:
Production Planning & Event Operations
Lead operational planning for assigned events from concept development through teardown.
Develop production timelines, operational schedules, logistics plans and event workflows.
Plan manpower deployment, equipment requirements and production resources to ensure efficient event delivery.
Balance operational excellence with budgets, timelines and project objectives.
Identify operational risks early and implement practical contingency plans.
Site Planning & Guest Experience
Develop event layouts, floor plans and operational workflows that optimise attendee experience, crowd flow and venue functionality.
Produce multiple layout and site planning options, evaluating guest movement, queue management, accessibility, safety, visibility and operational efficiency before recommending the most suitable solution.
Translate creative concepts into practical production plans while preserving the creative intent of the experience.
Work closely with Campaigns, Creative and Design teams to refine layouts throughout the project lifecycle.
Prepare floor plans, production layouts and technical drawings using appropriate planning software (e.g. SketchUp) where required.
Vendor & Production Management
Manage relationships with contractors, production partners, suppliers, venue management and technical vendors.
Source quotations, evaluate vendors and coordinate procurement where required.
Coordinate production schedules, deliveries and installation works across multiple stakeholders.
=Conduct site recce sessions, technical meetings and production briefings with clients, venues and vendors.
Monitor vendor performance and ensure all deliverables meet agreed timelines, quality standards and operational requirements.
Technical Production & Compliance
Coordinate technical production requirements including staging, lighting, audio, LED, power distribution, rigging and event infrastructure.
Support licensing, permits and venue submission requirements where required.
Ensure compliance with venue regulations, safety requirements and operational best practices.
Maintain accurate production documentation including inventories, equipment schedules, technical plans and operational records.
Onsite Event Delivery
Lead onsite operational execution during setup, live event and teardown.
Coordinate production crews, freelancers, contractors and suppliers onsite.
Make informed decisions quickly to resolve operational and technical issues while maintaining event continuity.
Ensure smooth communication between internal teams, vendors, venues and clients throughout event operations.
Deliver events that are safe, efficient and executed to the highest operational standard.
Innovation & Continuous Improvement
Use AI and digital tools responsibly to improve planning, scheduling, documentation and workflow efficiency.
Explore new tools, technologies and operational processes that improve productivity, collaboration and event delivery.
Conduct post-event operational reviews and identify opportunities for continuous improvement.
Requirements:
At least 3–5 years of experience in event operations, production or technical event management.
Experience delivering experiential events, festivals, exhibitions, corporate events or large-scale public activations.
Strong understanding of event production workflows, logistics and onsite operations.
Demonstrated ability to develop event layouts, operational workflows and production plans that enhance attendee experience while meeting operational, safety and venue requirements.
Experience coordinating contractors, suppliers, technical vendors and venue management independently.
Able to prepare and interpret floor plans, production layouts and technical drawings.
Experience using planning or 3D visualisation software (e.g. SketchUp) is advantageous.

Preferred Experience
Experience in an event agency, production house or experiential marketing agency.
Experience delivering festivals, brand activations, exhibitions, placemaking projects or large-scale public events.
Familiarity with event licensing, permits and venue submission processes.
Experience using planning or 3D visualisation software to support production planning and site layout development.
Comfortable using generative AI or productivity tools for planning, documentation, scheduling and workflow improvement.
